Privacy Policy

Effective date: July 23, 2026

This Privacy Policy explains how M9000 Systems, LLC (“we,” “us”) collects, uses, and protects information in connection with the BigBoard service and the BigBoard monitoring agents and collectors (together, “BigBoard”). It applies to our customers and to visitors of bigboard.ai.

1. Information we collect

Account information. When you sign up, we collect the information you provide — such as your name, work email, company name, and any invitation or voucher code — plus your tier and billing status.

Infrastructure telemetry. The BigBoard agents and collectors you install send monitoring data from the devices you choose to monitor — for example metrics (CPU, memory, disk, network, temperature), device and host identifiers (hostname, OS, addresses), component inventory, status, and log or event data you configure the agent to send. This data is sent to your BigBoard instance so we can provide the monitoring service to you. You control what is monitored; do not send us data you are not authorized to share.

Usage and technical data. We collect standard service logs (such as IP address, timestamps, and request information) and product-usage data to operate, secure, and improve BigBoard.

2. How we use information

We use the information to: provide, operate, and maintain the BigBoard service and its alerting and analysis features; authenticate you and secure your account; provision your account and send transactional email (welcome, trial, and service notices); provide support; monitor and improve performance and reliability; and comply with legal obligations. We do not sell your information, and we do not use your monitoring data for advertising. If your plan includes AI features, your queries and relevant context may be processed by our AI provider solely to generate responses for you.

3. How we share information

We share information only: with service providers (such as hosting, email delivery, code-signing, and AI providers) who process it on our behalf under confidentiality obligations and only as needed to provide BigBoard; when required by law or to protect our rights, users, or the public; if you were referred through a channel partner — in which case we may confirm to that partner that their code was used, without sharing your monitoring data; and in connection with a merger, acquisition, or sale of assets, subject to this Policy.

4. Data storage and security

Your data is stored on infrastructure we control and is logically isolated per customer instance. We use administrative, technical, and physical safeguards — including TLS in transit, access keys scoped per instance, and signed software channels — designed to protect information. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

5. Data retention

We retain account information while your account is active and as needed to provide the service. Monitoring metrics and logs are retained according to your plan's retention settings. After account closure we delete or de-identify your data within a reasonable retention grace period, except where we must retain it to comply with legal obligations or resolve disputes.

6. Your choices and rights

You control which devices you monitor and what data the agents send. You may access, correct, export, or delete your account data, and close your account, by contacting us. Depending on your location, you may have additional rights under applicable data protection laws, and we will honor those rights as required by law.

7. Children

BigBoard is a business product not directed to children, and we do not knowingly collect personal information from anyone under 18.

8. Changes to this Policy

We may update this Policy from time to time. We will post the updated version with a revised effective date and, where appropriate, notify you.
